About the role

Part-time Contract role

10 hours per week with flexibility for more during annual busy times, some overnight travel and evening meetings.

Reporting to the Chair and working closely with the Board, assessors, members and volunteers, you will be responsible for the operational leadership of the Trust. The role combines administration, membership services, communications, event management, finance and stakeholder engagement. No two weeks are the same. One day you may be coordinating a garden assessment programme, the next preparing Board papers, updating the website, managing social media, editing the newsletter or working with a conference committee to deliver our annual conference. The role requires the flexibility to attend evening meetings, travel for our conference and to undertake additional hours during our busy periods. This role is run virtually, and you will interact with stakeholders across New Zealand and abroad – we need you and your work to be well presented with an eye for detail and flair.

Key responsibilities

  • Lead the day-to-day management of the Trust and implement strategic priorities.

  • Recruit and support member gardens, Friends, volunteers and assessors.

  • Manage stakeholder relationships across the horticulture, tourism and heritage sectors.

  • Deliver marketing, communications and promotional activities, including newsletters, website content and social media.

  • Coordinate the annual garden assessment programme alongside the Lead Assessor.

  • Manage delivery of the Trust's annual conference and AGM.

  • Prepare Board reports, meeting papers and minutes.

  • Manage invoicing, GST returns, budgeting and administration using Xero and other business systems.

  • Ensure ongoing compliance and reporting obligations are met.

About you

You are a highly organised professional who enjoys working across multiple disciplines and building strong relationships with a wide range of stakeholders.

  • Experience in operations, administration, project management or not-for-profit management.

  • Excellent written and verbal communication skills.

  • Strong organisational and planning abilities.

  • Experience supporting governance processes and working with Boards or committees.

  • Financial administration and budgeting experience.

  • Confidence using digital platforms and business systems, including design software.

  • The ability to work independently and manage competing priorities.

  • A genuine interest in gardens, tourism, heritage, conservation or community organisations.

  • Experience with some or all of the following would be advantageous: Microsoft 365, Xero, Squarespace, Canva, Stripe, Adobe InDesign, Adobe Acrobat.
