About the role

The Occupational Therapy Board of New Zealand (Te Poari Whakaora Ngangahau o Aotearoa) is the regulator for occupational therapists in Aotearoa New Zealand. Its role is to protect the public by ensuring occupational therapists are fit and competent to practise, while supporting high standards across the profession.

They’re looking for an experienced Executive Assistant or senior administrator who will provide proactive, high-quality support to the Chief Executive while helping keep the wider organisation running smoothly.

This is a varied role within a small, collaborative team where you'll be trusted to anticipate what needs attention, keep multiple priorities moving and provide practical support across the organisation. Alongside traditional executive support, you'll be involved in meetings and events, finance and HR administration, travel, Board logistics and the day-to-day coordination that keeps things working well.

 

What you'll do

 

Working closely with the Chief Executive, you'll manage their diary and inbox, help them stay ahead of commitments and priorities, and provide support with correspondence, reports, presentations and other documentation.

You'll also have plenty of variety, including:

  • coordinating meetings, events, travel and accommodation
  • working alongside the Board Secretary to coordinate the practical arrangements for Board meetings
  • supporting finance administration, including invoices, expenses and credit card reconciliations
  • coordinating recruitment, onboarding, offboarding and other HR administration
  • liaising with IT and other external service providers
  • supporting the smooth day-to-day running of the office and wider team.

It's a role for someone who enjoys being across the detail, solving problems and making life easier for the people around them. You'll have the autonomy to get on with things, while being part of a supportive team where everyone is willing to pitch in.

 

What we’re looking for

You'll be an experienced EA or senior administrator who is highly organised, proactive and comfortable working closely with a Chief Executive or senior leader.

You'll bring:

  • strong executive support experience and confidence managing competing priorities
  • excellent organisational skills and attention to detail
  • strong written communication skills and confidence preparing professional documents
  • sound judgement and discretion when dealing with sensitive or confidential information
  • the confidence to build effective relationships with senior leaders, Board members, colleagues and external stakeholders
  • a proactive approach and the ability to anticipate what needs to happen next
  • strong technology skills, including confidence using Microsoft Office and other electronic systems.
  • Experience within a regulatory, public sector, Crown entity, membership or health environment would be useful, but isn't essential.
