Experienced medical reception | Clinical administration | Medtech Evolution
This isn't an entry-level reception role.
We're looking for an experienced Clinical Receptionist/Administrator who knows what great front-of-house support looks like in a busy health service — and who genuinely enjoys connecting with and supporting young people.
You'll be someone who can warmly welcome a young person through the door, help them feel comfortable accessing our services, confidently navigate a clinical management system, keep client information accurate and up to date, spot when something isn't quite right, pull together accurate data and statistics, and help the wider clinical team work efficiently.

As a Youth One Stop Shop (YOSS), we provide integrated health, social support, youth development and wellbeing services for rangatahi across Te Awakairangi (the Hutt Valley). Young people are at the heart of what we do, and the experience they have from the moment they connect with Vibe matters.
Our work is grounded in Manaakitanga, Whanaungatanga and Rangatiratanga.
ABOUT THE ROLE
As our Clinical Receptionist/Administrator, you'll be an important part of both our front-of-house and clinical support functions.
Yes, there's reception — but at Vibe, front of house is more than checking someone in for an appointment. You'll often be one of the first people a young person connects with, so how you welcome them, communicate with them and help them navigate our services matters.
You'll manage appointments and enquiries, keep things calm and organised when it's busy, and help create an environment where rangatahi and whānau feel welcomed, respected and comfortable accessing support.
But there's much more to this role.
You'll work alongside our clinical team to make sure client information is accurate, appointments and administrative processes run smoothly, and our systems support safe and efficient service delivery.
You'll also have an important role in maintaining the quality of our data and supporting clinical statistics, reporting and contract requirements.
We're a non-profit community organisation, so we're looking for someone comfortable working at the top of their scope. Someone flexible and agile who sees what needs doing, gets stuck in, and looks for ways to make our systems and processes better.
ABOUT YOU
We're looking for someone who already understands clinical reception and administration. Previous experience in a health or clinical reception environment is important for this role.
You'll ideally bring:
· Previous medical/clinical reception and administration experience
· Medtech Evolution experience — strongly preferred
· Confidence working with clinical records, appointment systems and day-to-day clinical administration
· Strong data skills and an eye for accuracy — you understand that good data matters in healthcare
· Confidence supporting statistics, reporting and other clinical administration
· Excellent attention to detail and a strong understanding of privacy and confidentiality
· The ability to juggle competing priorities without losing your cool — or the details
· Good judgement and the confidence to solve day-to-day problems
· Strong digital skills and the ability to learn systems quickly
· A practical, flexible can-do approach — you're happy to pitch in where needed
· A genuine interest in working with rangatahi and supporting them to have a positive experience of health and wellbeing services
· Warmth, confidence and an ability to connect with young people, whānau and people from diverse backgrounds
Most importantly, you're someone who takes ownership of your work and understands that the way you do your job makes a difference. You don't need to be told about every next step — you notice things, follow them through and understand how great administration and a great front-of-house experience support good clinical care for rangatahi.
