Operations Support Coordinator

Job Description

  • Keep operations running smoothly across a national organisation
  • Provide trusted support to the CE, Board and Leadership Team
  • Take ownership, improve processes and make the role your own

About the role

Rural Women New Zealand (RWNZ) has been strengthening, supporting and connecting rural people and communities for more than 100 years. As Operations Support Co-ordinator, you’ll help keep the organisation running smoothly by providing high-quality operational, administrative, executive and governance support.

Reporting to the Finance and Operations Manager, you’ll take ownership of the day-to-day systems and details that underpin an effective organisation. This includes office coordination, diary and meeting support, Board papers and action registers, travel, supplier and IT liaison, records, onboarding, events support and a range of organisational projects.

You’ll also be a trusted point of contact for the Chief Executive and Leadership Team – managing competing demands, anticipating what is needed and helping protect their time and focus. The fundamentals are in good shape, but there is real scope to strengthen processes and find smarter ways of working.

This is a full-time Wellington-based role, although 32 hours per week (0.8FTE) will also be considered.

What we’re looking for

RWNZ is looking for a capable doer who takes pride in keeping things organised and seeing tasks through. You’ll be proactive in noticing what needs attention, putting practical processes in place and keeping multiple moving parts under control. You’ll enjoy taking ownership of your work and having the autonomy to make things happen.

You will also bring:

  • Strong administrative, office management or executive support experience
  • Excellent organisation, prioritisation and follow-through
  • A high level of accuracy and close attention to detail
  • The confidence and judgement to act as an effective gatekeeper
  • A proactive, solutions-focused approach and the initiative to figure things out
  • Strong written communication and the ability to prepare polished documents
  • Confidence using Microsoft 365 and learning new systems and technology

Experience supporting senior leaders, Boards or committees would be an advantage, as would familiarity with a membership, not-for-profit or volunteer-led organisation.

Why join Rural Women New Zealand?

You’ll join a welcoming, collaborative team in an organisation with a proud history and a clear purpose. This is a role where ownership and initiative will be genuinely valued, with room to make it your own, improve how things are done and shine through the contribution you make across RWNZ.
