About the role

We are seeking an organised and highly-capable Kaituitui – Whakaurunga | Registration Coordinator to join our Registration team at Te Kaunihera Rata o Aotearoa | Medical Council of New Zealand. This is an opportunity to play an important role in supporting the registration and ongoing regulation of New Zealand's medical workforce.

In this role you will provide high-quality administrative support and coordination across the registration process for medical practitioners. You will work closely with doctors, employers, recruiters, and health sector stakeholders to ensure registration applications are assessed and processed accurately and efficiently in accordance with our obligations under the Health Practitioners Competence Assurance Act 2003 (HPCAA) and internal policies.

What you’ll do

  • Serve as a key contact for registration matters, ensuring enquiries are handled efficiently, accurately, and professionally
  • Coordinate and process doctors’ applications for registration and practising certificates
  • Provide accurate guidance and support to applicants throughout the registration process
  • Review documentation and ensure applications meet legislative and policy requirements
  • Engage with doctors, employers, recruiters, educational institutions, and other health sector stakeholders
  • Maintain accurate records
  • Prepare high-quality correspondence, documentation and reports
  • Support decision-making processes in a regulatory context
  • Assess and investigate applicant risk factors     
  • Ensure all work is accurate, timely, and in accordance with legislative requirements, Council policies, and service standards
  • Contribute to continuous improvement initiatives within the Registration team

 

What we’re looking for

  • Proven experience in customer/client-facing roles, member support, registry functions, and administrative coordination
  • Experience in a regulatory or membership-based environment is highly desirable
  • A confident communicator with strong interpersonal skills and a commitment to providing exceptional customer service using email, phone systems, database, and case management tools
  • Demonstrated experience interpreting and applying legislation and policies and procedures
  • Professional and discreet, demonstrating high emotional intelligence and resilience
  • Process driven, flexible, with strong organisational and time management skills
  • Excellent written and verbal communication skills, including accurate use of clear plain language and attention to detail
  • A collaborative and team-oriented approach, with a positive attitude and willingness to learn
  • A commitment to public safety, fairness, and continuous improvement
  • A commitment to implementing the principles of Te Tiriti o Waitangi
  • Strong interest in medico-legal or health-related field is highly advantageous
  • Proficient with MS Office Suite, CRM databases or case management systems
  • Knowledge of the HPCAA would be advantageous but is not essential.
