About the role          

Thumbs Up Charitable Trust exists to enable adults with intellectual disabilities to actively engage in the full life of their community through participation, contribution, and meaningful relationships.

They are seeking an organised, proactive and people-focused administrator to join their team in Petone. This is a varied and rewarding role that sits at the heart of their organisation, supporting the smooth day-to-day operation of their service while helping ensure the best possible outcomes for the people and whānau they support.

Working closely with the Service Manager and wider team, you'll provide high-quality administrative support, assist with finance processes, coordinate funding applications and reporting, and help ensure their systems, records and communications run smoothly.

This is a part time role (9am – 3pm, Monday to Friday), located in Petone with free parking onsite.

 

What you'll do

  • Provide day-to-day administrative support to the Service Manager and team
  • Prepare timetables, reports, meeting minutes and organisational documentation
  • Support staff and volunteer onboarding and training administration
  • Assist with payroll administration, invoicing, reconciliations and financial data entry
  • Maintain accurate records and documentation using Xero and Microsoft Office
  • Research, prepare and submit grant applications and funding reports
  • Coordinate funding calendars, accountability reporting and supporting documentation
  • Support health and safety administration and compliance activities
  • Build positive relationships with service users, whānau, staff, volunteers and external stakeholders

 

What we're looking for

  • Genuine passion for working with people with intellectual disabilities and an understanding of the basic principles of working with people with intellectual disabilities
  • Strong organisational skills and excellent attention to detail
  • Confident working with financial information and administrative systems
  • Working knowledge of Xero accounting software
  • Strong written communication skills, including report and document preparation
  • A proactive approach and the ability to work independently
  • A strong team player with excellent interpersonal skills and a collaborative working style
  • Confidence interacting with people from diverse backgrounds
  • Experience with grant funding applications and reporting would be highly regarded, although training and support can be provided for the right person.
