About the role

Archbishop Paul Martin SM is the current Archbishop of the Archdiocese of Wellington.   

Reporting to the Vicar for Education (VE), you will play a key role in supporting the Catholic School Education Services (CSES) office by providing high-quality administrative and coordination support. This will ensure the effective delivery of education services across Catholic schools within the Wellington Archdiocese, contributing to ADW’s commitment to excellence in education.   

Key responsibilities:

  • Serve as the primary point of contact for schools and teachers, including triaging email and phone enquiries, ensuring friendly and timely responses
  • Provide administrative support to two Religious Education Advisors (REAs) and the Leadership Advisor
  • Coordinate refreshments for REA workshops within schools, ensuring smooth on-the-day support
  • Draft professional correspondence and prepare documents and reports on behalf of the VE for review and approval
  • Maintain and accurately track school and teacher professional development records, including data relating to Catholic Character requirements
  • Coordinate the annual school evaluation process, liaising with external Catholic Character Lead Evaluators to ensure smooth delivery
  • Prepare annual certificates for Commissioning Mass awards
  • Collate and distribute the annual Professional Development calendar
  • Maintain and accurately update the Proprietor Appointee spreadsheet and manage the schools master file
  • Ensure timely invoicing and prompt payment of invoices
  • Build and maintain strong working relationships with schools, teachers, and key external stakeholders, including evaluators
  • Coordinate monthly team meetings, including preparing agendas, compiling documentation, taking minutes, and arranging travel where required

The ideal candidate will be proactive and self-motivated, adaptable, and committed to ensuring the smooth and efficient coordination of services while maintaining high standards of professionalism, accuracy, and service excellence.     

This is a permanent part-time role (20 hours per week) based in Thorndon Quay, Wellington Central. Hours are worked across four days per week, Monday to Thursday, within core hours of 8.30am to 6.00pm.

ADW is offering a starting salary of $67,500 per annum depending on experience (to be pro-rated accordingly). This role would suit someone seeking work-life balance and flexibility in start and finish time.      

What we’re looking for:

  • Proven experience in an office or team administration/coordination role, preferably within the not-for-profit or education sector, or experience as a teacher or teacher aide
  • Strong written and verbal communications skills
  • Dedicated to providing exceptional customer service
  • Ability to build strong, collaborative relationships with diverse internal and external stakeholders
  • Ability to manage deadlines with excellent time management, planning and prioritisation skills, and effectively manage expectations and competing requests
  • Self-motivated, proactive, collaborative and can work effectively in a teams
  • High level of accuracy and attention to detail
  • Proficient in computer skills and experienced with Microsoft Office 365, Google Docs, and CRM databases
  • Experience in Catholic education in New Zealand and/or a strong understanding of Catholic faith and values is highly desirable
  • Flexible and adaptable; with the ability to support workshops and events as required, and openness to occasional national travel with reasonable advance notice for planning purposes.
