About us

Gift Collective is a project run by The Gift Trust, a registered charitable trust with over 17 years of experience in the charity sector in Aotearoa and a track record of managing millions in philanthropic funding. 

Gift Collective’s kaupapa is to support projects with a charitable mission in Aotearoa, who don’t have registered charity status, by providing a ‘fundholding’ service. Fundholding is where a registered charity receives funding on behalf of an unregistered group and does all the due diligence to ensure it’s spent on the charitable purposes as outlined. We receive funds, send receipts to donors, record how much groups have to spend and then allow them to spend it, as long as it's for their charitable purpose, checking receipts and invoices. We provide a back-end finance function so these groups can focus on their core mahi. Gift Collective provides the legal infrastructure so that grassroots community groups can apply for funding without having to register or manage their own charity. Position context and purpose

Gift Collective is a 5 year old project run by The Gift Trust. You’d be part of our 7 person team. This role supports our Collectives to use our platform well and submit their expenses properly. We’re looking for someone who enjoys customer service - helping people to understand financial admin requirements and processes.

You will support the Gift Collective Programme Lead with financial, compliance and administration tasks. We are looking for someone who is organised, detail-orientated, efficient, with strong tech and administration skills. Clear communication skills are a must - customer service is a big part of the job. You’ll need to be self-motivated and have a passion for helping people and a desire to work in the charity sector.

Your responsibilities

  • Financial administration

  • Financial administration tasks such as reconciling Xero or GST administration.

  • Monitor the bank account and add funds to Collective budgets on the platform as they arrive.

  • Submit our operational expenses through the platform.

  • Draw up invoices when required by Collectives.

  • Create vendors in the platform.

  • Perform initial check on expenses in the weekly payment run to make sure we have the correct documentation and that they match the groups charitable purpose.

  • Customer service

  • Be the point of contact for our collectives when they’re asking questions about our online platform and their expenses..

  • Provide support to Collective admins to help them understand how Gift Collective and the online platform works.

  • Communicate with Collective admins when expenses haven’t been submitted correctly and assist them to upload the right documentation.

  • General administrative support for The Gift Trust, as needed

Key skills and characteristics

  • Great customer service and communication skills. You’ll enjoy working with a wide variety of people and helping them.

  • Experience of a range of administration and financial admin tasks (invoicing, Xero)

  • Organised and efficient

  • Great attention to detail

  • Comfortable with technology, using platforms and task management systems

  • Passion for mission-driven social impact work

  • Appreciates collaborative and transparent ways of working

  • Experience in the charity sector preferred

  • Knowledge of te reo Māori and te Āo Māori, while not essential, is preferred

  • Based in Wellington
