About the Role

Reporting to the Deputy Registrar, you’ll be responsible for delivering high-level exceptional customer service to veterinarians and members of the public, ensuring that enquirers have a seamless and positive experience that reflects the values of the Veterinary Council of New Zealand (VCNZ).

This role involves answering enquiries about registration, recertification, and fitness to practise, while providing administrative coordination support to the Deputy Registrar, Executive Officer, and Solicitor. The ideal candidate is organised, professional, and able to manage multiple priorities, apply strong listening skills, and handle sensitive situations with empathy, while maintaining a focus on accurate, friendly, and timely service.

What you’ll do

Just some of the accountabilities include:

  • Serve as the first point of contact for all calls and emails, ensuring enquiries are handled promptly and professionally
  • Manage the main registration and recertification email inbox, responding to general enquiries and escalating complex matters
  • Handle phone queries relating to registration and recertification
  • Manage the complaints email inbox, providing initial response, information and guidance, and triage
  • Maintain accurate records of enquiries and fitness to practise matters in the case management system (iMIS)
  • Provide coordination support to the Solicitor and Deputy Registrar on complaints and fitness to practise cases as needed
  • Contribute to developing a team knowledge base with clear, accurate answers to common questions and enquiries
  • Contribute to the continuous improvement of registration and fitness to practise processes
  • Support the wider VCNZ team and contribute to special projects and initiatives as required.

What we’re looking for:

  • Proven experience in customer/client-facing roles, member support, registry functions, and administrative coordination
  • Experience in a regulatory or membership-based environment is highly desirable
  • Confident using email, phone systems, database, and case management tools
  • A strong interest in animal welfare, public law, medico-legal or human medicine is highly advantageous
  • An understanding of VCNZ’s role and responsibilities, particularly the purpose of the registration process
  • Professional and discreet, demonstrating high emotional intelligence and resilience
  • A confident communicator with strong interpersonal skills and a commitment to providing exceptional customer service
  • Self-motivated, proactive, and demonstrate strong initiative and work ethic
  • Professional and understands the importance of privacy and confidentiality 
  • Able to demonstrate integrity and impartiality
  • Able to work effectively and collaboratively within a team
  • Enthusiasm with a great attitude and willingness to learn
  • Strong computer literacy, with proficiency in MS Office 365, CRM systems, and online portals

This is a permanent full-time (37.5 hours) position based in Wellington Central. VCNZ is offering a starting salary of up to $68,000 per annum (with flexibility to consider a higher range for the right experience).
