National Office Administrator

Hospital Chaplaincy Aotearoa provides compassionate spiritual care across Aotearoa New Zealand’s public hospitals. We are seeking a capable and organised National Office Administrator to support our small, friendly Wellington-based National Office team.

About the Role:

You will be the first point of contact for the organisation and provide administrative support across reception, meetings, communications, HR coordination, and database maintenance.

Key focus areas include:

  • Welcoming and responding to enquiries (phone, email, visitors).
  • General reception and office administration.
  • Administrative support for the Chief Executive, National Office, and leadership team.
  • Managing calendars, shared inboxes, records, and office supplies.
  • Supporting recruitment administration, onboarding tasks, and personnel record‑keeping.
  • Basic finance and procurement support.
  • Assisting with communications, newsletters, website updates, and event coordination.
  • Maintaining databases (including Infoodle) and supporting data quality.

About You:

You bring strong administrative capability, a calm and organised manner, and a warm, service‑focused approach.

You’ll have:

  • 3–5 years’ administration and reception experience.
  • Strong written and verbal communication skills.
  • Solid computer literacy (Microsoft 365; CRM use an advantage).
  • Excellent organisation and attention to detail.
  • Ability to manage competing priorities and work proactively.
  • A personal faith that aligns with the mission and values of Hospital Chaplaincy Aotearoa.
  • Respect for diverse cultures and understanding of, or willingness to learn, Te Ao Māori.

Desirable: Experience with Infoodle and i-Payroll; advanced Excel skills.

Salary

$30,000-39,000 actual/ $60,000-65,000 pro rata
