Weave Together is a specialist not-for-profit consultancy supporting community organisations across Otago. We work alongside boards, committees and managers to provide day-to-day administration and support, while working to strengthen governance, funding and strategy.
Our clients do important work in their communities and rely on us to help them stay organised, compliant, and moving forward.
We're looking for an experienced administrator who thrives on variety, can keep all the balls in the air, loves creating order, and takes pride in keeping busy people on track. You'll have fantastic inter-personal skills and be comfortable using a range of online tools to support efficiency.

This is a hands-on, high-trust position working across both client assignments and Weave Together’s internal systems. No two days are the same.
You will help keep meetings, documents, deadlines, and information flowing smoothly. You will often be the calm, capable person ensuring nothing gets dropped.
We are a small, flat team. You will work alongside the five current team members as a peer. The number of hours per week and the hours of work can be agreed with the right candidate. As an indication, we expect the role to be between 18-24 hours per week.
Providing high-level administrative support to community organisations
Preparing agendas and board packs, checking the details and spotting the gaps
Taking accurate, professional minutes and tracking actions
Managing documents, templates, and records
Improving and maintaining office systems and workflows
Supporting scheduling, communications, and follow-up
Helping us continuously refine how we work so we can serve clients better
You are organised, practical, and comfortable juggling multiple priorities. You enjoy responsibility and figuring out how to make things run better.
You will likely bring:
Strong administration experience (5+ years ideal)
Confidence supporting boards or committees. It's important that you have previously had exposure to board or committee meetings, either as a member or as a minute-taker/board secretary. We need someone who can provide guidance and support to our clients, if needed.
Excellent minute-taking and written communication skills
High attention to detail and follow-through
Solid capability with Google Workspace and Microsoft Office
Experience using a variety of software programmes to support productivity (experience with systems like monday.com is helpful)
A calm approach when deadlines are moving
Experience in the community or non-profit sector is welcome but not essential.
