TREASURER JOB DESCRIPTION
The Treasurer is the chief financial management officer for Shaping our Future Charitable Trust.
Reporting to: Chairperson, board members and Executive officer.
Responsibilities and duties
The Treasurer should:
Prepare and monitor annual budget and forecasting.
Keep the club’s finances up to date using Xero.
Keep a proper record of all payments and monies received.
Make sure financial reports are available and understood at all committee meetings.
Show evidence that money received is banked and documentation provided for all money paid out.
Ensure that information for an audit is prepared each year.
Organise the annual audit with accountant
Give Treasurer’s report at regular meetings and when required.
Produce an annual financial report.
Send out accounts.
Pay the bills.
Knowledge and skills required
The Treasurer is a well-organised person who:
Can allocate regular time periods to maintain financial records
Can keep accurate records using Xero.
Can work in a logical orderly manner.
Is aware of financial information which needs to be kept for the annual audit.
The estimated time commitment required as the Treasurer is 1 hour per week, 2-5 hours per month for monthly reporting and board meeting; and 5-10 hours per year for annual performance report.

1. Operational Budget
Created and set by Trust
Loaded to Xero
Split into Operational and Project costs
2. Project Budget & Reporting
Project budget created with support from Executive officer
Project signed off by Trust
Project update each meeting
3. Monthly Operational Reporting:
Complete eeconciliation in Xero
Run fixed asset register
Balance sheet YTD + last 3 years
P&L YTD + last 3 years
Cashflow monthly + last 12 months
4. Invoices & authorisation of payments
Sent to Executive officer and Treasurer
Request for Authorisation sent to board member for authorisation (only one needed aside from Treasurer).
Once approved, treasurer processes payment.
5. Annual performance report & financial audit
Work with Accountants and Executive officer on Annual Performance report and audit.

We are a registered charity operating in the Upper Clutha and Queenstown Lakes districts. A registered charitable trust, we have two part time staff and seven people currently serving on our Board of Trustees.
What we do: we help communities to participate meaningfully in local decision-making processes.
Why we do it: because decisions are better when more voices are heard. Not all residents have the time, capability, resources or skills to present at public workshops or to publicly submit on plans and changes that will impact their way of life.
How we do it: we meet people where they are. Using surveys, workshops and visioning forums (depending on the project and the needs of the community), we gather information, set up community-led working groups and collate community feedback into reports for decision-makers
We do this so that all residents have an equitable opportunity to voice their opinions, provide input and help to shape the future of their community.
