OFFICE ADMINISTRATOR / RECEPTIONIST

We seek an experienced Office Administrator to support WellElder Counselling’s busy team of counsellors.

About Us: WellElder is a community trust dedicated to providing essential counselling services for the wellbeing of older people across the Greater Wellington community.

About the Role: This position plays a pivotal role within our small team located in Newtown. You will assist with various administrative tasks and provide support to counsellors, management, and the board during our operational hours from Tuesday to Thursday. Part-time role, 18 - 20 hours per week. We are open to negotiating the distribution of hours, with the majority allocated during office hours and the remainder on Mondays or Fridays.

Key Responsibilities:

  • Booking initial appointments with clients over the phone
  • Managing client’s bookings and providing customer service via phone, email and face-to-face.
  • Diary management, including liaison with counsellors and relevant paperwork
  • Efficiently organise resources (stationery, forms, brochures, venue bookings etc)
  • Maintaining accurate and up to date client records and filing, both physical and digital.
  • Providing general administrative support tasks to ensure smooth running of our busy office.
  • Collaborating closely with counsellors and other staff, including covering staff leave.
  • Assisting in arranging, attending, and contributing to team meeting.

Skills and Knowledge preferred:

 WORK EXPERIENCE

  • Reception and office administration experience, via phone, email and in person
  • Accurate computer skills, ideally MS Office (Sales Force & Xero desirable)
  • Experience in not-for-profit / NGO organisations
  • Commitment to high standards of confidentiality and health privacy requirements.
