Role Title:                    Office Manager

Reports to:                  Chief Executive Officer

Direct Reports:            Nil

Term/Hours                Full Time Permanent. 37.5 Hours per week

Aspire Canterbury has been an integral part of the Christchurch disability and elderly community since 1982. We enhance the lives of disabled people, and people with impairments by enabling community participation and maximum independence.

We do this by connecting people to the right resources and reducing everyday barriers, by being a trusted source of information, providing mobility products and associated services, and enabling people with impairments to achieve their best life.

Purpose of the Role:

The Office Manager supports the effective and efficient operation of Aspire Canterbury. This role works closely with the CEO to complete a range of tasks, ensuring consistent administrative practices across the organization. The Office Manager contributes to promoting the health, welfare and independence of people with disabilities.

Key Responsibilities:

Financial Administration:

  • Assist with Total Mobility clients, including creating invoices in Xero, emailing, printing, posting, and reconciling.
  • Assist with grant applications, accountability reporting, and reconciliation
  • Perform daily banking and Xero reconciliation.
  • Load and track invoices and payments to suppliers.

   Administrative Support:

  • Manage reporting, invoicing and contracts for the Disability Information and Advisory (DIAS) and Pathfinder services.
  • Participate in the Enabling Good Lives Waitaha Regional Leadership Group and group actions, activities and reporting where necessary.
  • Assist with the administration and support of the team at Aspire Canterbury.
  • Cover the Aspire shop when staff are out at events.
  • Manage hire equipment cleaning, maintenance, and repairs.
  • Provide sick leave cover across the team.
  • Collect statistics for Board reporting and contractual reporting requirements.

    Client and Community Engagement:

  • Maintain and update the Aspire Directory online and organize the directory reprint process.
  • Assist in the creation and sending of quarterly newsletters to Aspire Canterbury’s customers and contacts.
  • Update and manage the website, Facebook, and other marketing channels.
  • Assist in organising Disability Sector stakeholder meetings to raise Aspire Canterbury’s profile across the Canterbury region.
  • Manage incoming Disability Information phone calls, assess and pass on to the appropriate staff member for more complex Disability Information requests and Pathfinder clients.
  • Assist where needed in community presentations, expos and events.

Knowledge, Skills, and Competencies:

  • Strong interpersonal skills to provide ethical, professional, and respectful services.
  • Commitment to the social model of disability in line with the NZ Disability Strategy.
  • Willingness to grow knowledge and competence in Te reo Māori and understanding of tikanga.
  • Understanding of Papatipu Rūnanga and Iwi structures as they relate to Treaty of Waitangi partnership in action.
  • Knowledge of current MoH Disability Models.
  • Confidence in delivering presentations and relating to a wide variety of people.
  • Adaptability to change and exceptional communication skills.
  • Presentation skills.
  • IT Skills – Intermediate/Advanced with proficiency in Microsoft Office Suite and Social Media.

Other Requirements:

  • A clean and full driver’s license.
  • A clean Police record.

$55,000 to $75,000 dependent on skills and experience
