Part-Time Administration

Job Description

  • Permanent part time role (two or three days/week)
  • Central Lambton Quay location (near the train station)
  • Pivotal role as part of a small, friendly team

Manchester Unity is New Zealand's fastest-growing most ethical not-for-profit membership organisation for families. They provide membership benefits like holiday homes, social events and scholarships for members and their families, as well as financial protection and welfare.

 

As part of a small, collegial and sociable team, you will provide secretarial and organisational support to the Chief Executive, Fraternal Manager, Board of Directors and other senior management staff, ensuring on a daily basis that deliverables are met accurately, on time and within budget.

 

There is plenty of variety on offer, with just some of the responsibilities covering:

  • Society Office Administration, such as arranging staff functions and meetings
  • Administering staff and contractor inductions and onboardings
  • CEO diary and inbox management
  • Arranging travel plans, accommodation, and itineraries for the Chief Executive
  • Administering CEO’s credit card expenses procedure
  • Assisting to prepare Board and Audit Meeting agendas, and board papers, in conjunction with the Chief Executive Officer
  • Arranging all board meetings and associated Director logistics
  • Assisting the CEO in organising conference venues, papers, catering, room bookings, travel and minutes, and website updates

 

This is an excellent opportunity for a motivated team player with strong communication and administration skills. You will enjoy variety and a busy, nimble environment, while working with a supportive and friendly team.

 

This is a permanent part time role for two to three days per week. Hybrid working will be considered, but a minimum of two days per week must be in the office which is based on Lambton Quay near the Wellington Railway Station.

 

Person Profile:

  • Proven experience as a PA, or experienced office administrator looking for a step up
  • Approachable and friendly with a strong customer service ethic
  • Excellent communication and interpersonal skills
  • High-level of competency in English grammar, spelling and writing
  • A can-do attitude, not afraid to try new methods
  • Excellent time management skills
  • Team player with a good sense of humour
  • Confidential and discreet when dealing with information
  • High-level of competency in the Microsoft suite (Outlook, Word, Excel and PowerPoint)
