Office Administrator

Wellington CBD

Permanent, 40 hours per week

We are looking for an Office Administrator to join our collegial team at national office.

Tira Tūhāhā Prison Chaplaincy Aotearoa  (TTPCA) provides chaplaincy to all prisons in New Zealand through funding from the Department of Corrections.

Reporting to the Finance and Office Manager, this is an interesting and varied role which will provide administrative, secretarial and financial assistance within our national office.

The key responsibilities of this role include:

  • National office administration – Working with information (correspondence, spreadsheets and data capture), travel and logistics, stationery supplies
  • Secretarial support – Report generation, board minutes, meeting arrangements and mail merge
  • Volunteer administrative support – undertaking administrative duties relating to the recruitment and coordination of faith-based volunteers at prisons
  • Assisting in fortnightly payroll processing and creditors payments
  • Providing IT guidance to users
  • Supporting training and HR arrangements and activities
  • Housekeeping and maintenance of kitchen supplies

Who we are looking for

The successful candidate will have at least two years relevant work experience and a relevant qualification, along with:

  • Good IT aptitude with experience in a range of computer applications (including Office 365 Word, Excel, SharePoint, Visio, Xero, Website)
  • Sound numeracy skills
  • Excellent written and verbal communication skills and a customer service ethos

In addition, you will be able to collaborate, work well in a team and have an optimistic and energetic approach to your work. You will be efficient and organised, working independently, setting priorities and meeting deadlines.

You will have empathy for the work of TTPCA and will have the ability to maintain strict confidentiality and respect for the privacy of TTPCA information.

The ideal candidate will have some knowledge of, and/or appreciation for, te reo and tikanga Māori.
